Required Fields

Every contact must have: email, phone, company. Every deal must have: amount, close date, stage.

Format Validation

Phone numbers follow format. Emails are valid. Dates are in the right format. Fields have only allowed values.

Deduplication

No duplicate contacts or companies. Merge tool runs weekly. Fuzzy matching finds similar records.

Recency Standards

Contacts not touched in 24 months are archived. Last contact date is updated daily. Notes are current.

Audit Trails

Track who changed what and when. Catch unauthorized edits. Enable rollbacks if needed.

Questions we get asked

What actually causes bad CRM data?
Almost never careless typing. It is usually two systems allowed to write the same field, an import that ran without survivorship rules, or a form that creates a record every time somebody submits it. Cleaning the records without fixing whichever of those is true buys about a quarter before the duplicates come back.
How do you measure CRM data quality?
Pick the checks that map to a decision somebody makes: duplicate rate on accounts, percentage of open opportunities with an owner, contacts with a bounced or missing email, records with no activity in ninety days. Each one is a query you can run again next month. A single quality score nobody can decompose does not survive its first argument.
Can automation replace a data quality consultant?
Automation holds a standard; it cannot decide one. Deduplication tools need survivorship rules — which record wins when two disagree about an address — and that is a business decision about which system is authoritative. Once it is made and written down, the enforcement should absolutely be automatic, and we build it that way.
How long does a CRM data quality project take?
The audit and the rules are usually two to four weeks. The remediation depends entirely on how many systems feed the CRM and how bad the duplicate situation is, which is why we scope that part after the audit rather than quoting it blind.
